Step #1

Click on your profile picture or initials to reveal the quick-start menu.

Step #2

Click "Team Settings".

Don't see Team Settings? That's because it only shows up if you're an Admin user.

Step #3

Here you can edit the "Team Name" (optional) and select your team's "Time Zone" (optional).  The timezone will be defaulted to UTC by the system.

Step #4

Here you can see a list of "Module Settings".  Search for the module and here you can customize your team's user experience by editing different areas of your navigation:

  • Choose which modules to enable
  • Rename modules to fit your organization's needs
  • Customize features inside certain modules.

Step #5

Let's use the "Documents" module as an example.  Click on "Documents".

Step #6

Customize how documents are managed in Isolocity by adjusting the options below. These settings allow you to control naming conventions, approval requirements, visibility, and automation—ensuring your document management process aligns with your organization’s compliance and workflow needs.

  • Change the Menu Name: Rename the “Documents” module to something that fits your organization’s terminology (e.g., Controlled Documents).
  • Change the Icon: Select a different icon to visually represent the module in the system.
  • Customize Document Stage Names: Update the naming for each stage of the document lifecycle to reflect your internal processes.
  • Require E-Signatures for Approvals (Highly Recommended): Ensure that all document approvals are verified with an electronic signature for added security and compliance.
  • Automatically Create Change Controls for New Revisions: Streamline change management by having a change control record generated each time a new document revision is created.
  • Require Change Control Approval and Closure for Approved Documents: Add an extra level of oversight by ensuring that change controls tied to document approvals are properly reviewed and closed.
  • Control Document Visibility: Choose who can view documents, restricting access to owners, subscribers, or members of designated employee groups.
  • Allow Production-Level Users to Adjust Approval Matrices (Not Recommended): Provide certain users with the ability to modify approval matrices on a per-document basis—though this is typically best reserved for admins.
  • Enable 3-Stage Document Approval (Not Recommended): When enabled, this option actually removes one of the standard approval steps, simplifying the approval process. Use with caution, as it reduces the number of required review stages in the document workflow.
  • Require an Attachment or External Link for Document Approval: Ensure supporting materials are always included before a document can be approved.
  • Restrict Removal of Attachments After Approval: Maintain compliance by preventing users from deleting files once a document has been approved.
  • Limit Document Creation and Revisions to Admin Users: Restrict who can create or update documents to ensure consistency and control.
  • Require an Approval Matrix for All Documents: Enforce structured review and approval processes by making approval matrices mandatory.
  • Auto-Convert Word Files to PDF Upon Stage Approval: Standardize formatting by automatically converting approved Word documents into PDFs.

Step #7

Click "Save" to save your changes and/or click into the grey area on the left of the screen to exit this panel.

Step #8

Repeat this for each module as you set them up.
