FAQs for "Training Management"
1. How do I create a Training Report?
A: Training Reports are available within the Isolocity system for users with the correct permission levels. Navigate to the "Training Activities" module on the left-hand side of the page. When the list view opens, you will see two reports available at the bottom left-hand side of the page: the Training Matrix Report and the Training Database Download.
2. How do I run a training report to see who has completed which trainings?
A: Navigate to the Training Activities module. At the bottom of the page, select one of the two reports: Training Matrix Report or Training Database Download.
The Training Matrix Report shows training for the latest version of documents only. For example, if Document X has training for three revisions (1, 2, and 3), only revision 3 will appear.
The Training Database Download includes training records for all versions (revisions 1, 2, and 3 in this example).
3. Where can I see the trainings I need to complete?
A: The best place to view all trainings assigned to you is on your main dashboard in Isolocity. Here you will see a list of any Action Items, Tests, or Checklists that are due to be completed.
4. How can I stop a recurring Training?
A: Navigate to the Training Activities module. Select the recurring training activity you would like to deactivate. In the status section of the Training Activity page, change the status from Active to Inactive, then click Save at the bottom right-hand corner.
5. How can I watch Training videos on my phone?
A: Training videos are normally listed at the bottom of the page. You may need to scroll past the test or checklist to access them.
6. Why can't I complete my Training?
A: To complete training, ensure the following steps are taken:
A response has been selected for all questions.
All resource material provided has been opened, including links (scroll down if necessary).
The Save button is clicked to submit responses.
The correct password is entered to sign off.
For Checklists, the same criteria apply, and the Is Completed toggle must be switched from No to Yes.
7. What is the difference between "Training Matrix" and "Training Database Download" exports?
A: The Training Matrix export lists training programs for current versions of documents and their results. The Training Database Download export lists all training programs in the system, including all document revisions. For example, if a document has 2 revisions, the Training Matrix shows revision 2 only, while the Training Database Download shows both revisions 1 and 2.
8. How does the Training Program field in the Documents section work?
A: The Training Program field allows you to associate a test or checklist with a document. Once the document reaches Stage 3, you can initiate training based on the program associated with that document.
9. How do I create document training / on-the-job training?
A: Document training is done through the document module. Once a document is approved to Stage 3, click Create Training Activity to send training. Ensure a Training Program and Employee Groups are assigned to the document. On-the-job training is created through the Training Activity module.
10. What is the supervisor field used for in Training Activity?
A: The supervisor receives an email notification when the training is completed, along with an overview of the results.
11. How can I assign existing training and documents to new employees?
A: Use the Employee Manager module. Search for the new employee and open their profile. Add them to the applicable employee groups and click Save. The system will display recommended training for the selected groups, which can be reviewed and adjusted as needed.
12. What are each of the elements that can be added into a "Training Checklist"?
A: There are eight elements that can be added:
Yes/No: User selects yes or no.
Date Field: User selects a date.
Checkbox: Single checkbox selection.
Checkbox Group: Multiple checkboxes to select more than one item.
Radio Group: Multiple-choice, only one selection allowed.
Rich Text Editor: Text box for detailed responses.
Select: Drop-down menu to select one item.
Text Field: Text box for freeform entry.
13. How do I take training as an end-user?
A: Click on the green arrow beside your training task. View all resource materials and answer the questions. Click "Save" to submit your responses.
14. Why can't I mark my training complete?
A: Please make sure you have reviewed all Resource Materials and answered all questions. If you are required to
add your e-signature:
Enter your password carefully and ensure no error messages appear after clicking Submit.
If you see an error stating your password is incorrect, double-check that it was entered correctly.
If you see an error regarding Resource Materials, confirm that all materials have been opened and reviewed.
15. Both the Training Database Download and Training Matrix Report show that all training are complete but my daily digest email shows there are overdue trainings.
A: If you belong to multiple teams, please ensure that the team listed in your Daily Digest email matches the team
in the database from which you are pulling the report. Discrepancies may also occur if Training Activities were created without assigning any participants.
16. How can I see everyone who completed training on a document?
A: You can download an export of training completed via the "Training Activities" module. The Training Matrix Report and Training Database Download show who was enrolled and the completion status for each user.
17. How do I open my test?
A: Click the ">" beside the test on your Dashboard, or if you received an email notification, click the link in the email to open the test.
18. How do I see videos for my test?
A: Training resources are available in the "Resource Materials" section of the training activity, located at the bottom of the test or checklist.
19. How do I finish a test?
A: To complete your training activities, review all resource materials and answer all questions. Once done, click "Save" to submit your responses for grading.
