This article walks through the process of creating and issuing document-related training in Isolocity. This process assumes that the training document has already been created.


? Step 1: Create Training Types

  1. Navigate to Training Manager > Training Programs > Manage Training Types.

  2. Click Create Training Type.

  3. Enter a name (e.g., GMP Training).

  4. If not needed, the training type can later be inactivated.

A training type is a broad classification such as GMP training, ISO training, document training, or hands-on training.


? Step 2: Set Up Employee Groups

  1. Go to Training Manager > Employee Groups > Add Employee Group.

  2. Enter a group name (e.g., Quality Assurance).

  3. Optionally, enter a review timeline.

  4. Click Create Employee Group and select applicable employees.

Users can belong to multiple groups. Most organizations use departments or job titles for grouping.


? Step 3: Create Your Training Program

? Step 4: Link Training Program to a Document

  1. Go to Documents, and select the document (e.g., GMP1 Sanitation).

  2. Use the Training Program dropdown to select the correct training (e.g., Read and Understood).

  3. Select the applicable Employee Groups.

  4. Once the document is marked Approved – Not Effective, a gray button will appear to issue the training.


? Step 5: Issue the Document-Related Training

  1. Click the gray button to launch the training assignment process.

  2. Linked training and documents will be shown.

  3. Set the Start Date (defaults to today’s date but can be changed).

  4. Set a Completion Date (deadline for training completion).

  5. Define Repeat Frequency if recurring (e.g., every 12 months).

  6. Click Create Training Activity.

  7. Review and adjust the user list if needed.

Users will receive an email (if enabled) and see the task on their dashboard. It may take a few minutes to load all employees—refresh the page if necessary.


? Step 6: Monitor Training Activity

You’ll see a list of assigned users, their statuscompletion dates, and next training dates.

  • For checklist-based training: You can mark complete.

  • For test-based training: You can view scores and resend the training.

Automated notifications are sent 1 week and 1 day before the completion deadline.


? Step 7: Training Activities List Page

From this page, you can:

  • View all incomplete training activities and % complete.

  • Filter by keywordtraining typeemployeestatus, and active/inactive.

  • Download:

    • Training Database Report: Shows all training results (including past revisions).

    • Training Matrix Report: Shows results for current document versions only.


? Step 8: View Employee Training Records

  1. Go to Training Manager > Employee Manager.

  2. Click on any employee to view their profile (name, email, employee groups, etc.).

  3. Profiles are created automatically when users are added in User Manager.

  4. Adding users to a group and pressing Save will launch the Training Wizard, allowing you to assign all related training.

  5. You can also set up review timelines and input other information like DOB, position, and address.

  6. View and export Test History and Checklist History in PDF format.


? Step 9: Admin Settings

  1. Click on your profile image or initials > Team Settings.

  2. Use the search to find training-related modules.

  3. You can change menu names and icons.

  4. Enable the E-signature setting for training completion (requires user login credentials).


? Step 10: Employee View

  • When logged in as a standard user (e.g., a free account), users will see training on the dashboard.

  • To complete training, they click the green arrow to open the checklist or test.

  • The system requires users to open and read resource materials before marking training complete.
